QuickTapSurvey offers the ability to email your survey respondents automatically so that you can get in touch quickly.


If you have Auto-Reply Email enabled, you will want to optimize that your messages to ensure as many are being delivered as possible.


Why Your Messages Might Not Be Delivered

 Your Auto-Reply Email mail may be automatically moved to your client's Junk or Spam folder if their email system determines that your message is Junk or Spam and needs to be filtered.


Fortunately, there are many ways to improve email deliverability. Below are a few precautionary steps you can take to ensure that emails are consistently going through.



How to Improve Email Deliverability 

1. Use a Real Email Address


Use a real email address which your survey respondents can reply to.




2. Limit the Number of Images

Limit the number of images sent in your email. The fewer there are, the better. Having fewer images in your email will also reduce the email size which improves deliverability. Having an email that is 30kb is a lot better than sending one that is 3.5mb.

3. Use a Company Email Address

Use a company email address instead of a personal address.




4. Ensure HTML Coding is Correct



5. Limit Buzz Words

Monitor the language that you use within your email. The usage of certain buzzwords may reduce deliverability. Using language such as "free", "buy", "promo", "limited time" etc. may cause your messages to be filtered as Junk or Spam.



6. Link to Reputable Domains 

Make sure the links within your email direct to reputable domains.



7. POWER-USER TIP: Include quicktapsurvey.com in your organization's SPF record

An SPF record is a type of Domain Name Service (DNS) record that identifies which mail servers are permitted to send email on behalf of your domain. The purpose of an SPF record is to prevent spammers from sending messages with forged "From" addresses using your domain.


If you have access to update your organization's SPF record, you can include quicktapsurvey.com so that QuickTapSurvey is recognized as a legitimate email sender with permission to send on your behalf.


Add "a:mail.quicktapsurvey.com" to your organization's existing SPF Record.



There is no way to ensure that every email you send will always reach the end user. However, there are steps you can take to improve the deliverability of your message to your target audience. Having a clean simple message, that is recognizable from a legitimate source, will ensure that as many of your emails as possible are delivered.
